GUIDELINES FOR PREPARATIONS FOR THE PROCEEDINGS, EVALUATION AND REWARDING OF THE 2ND INTERNATIONAL URBAN ENVIRONMENT AND HEALTH CONGRESS

 

CHAPTER ONE

Objectives, Scope, Definitions

Objectives

Article 1- The objective of this guideline is to regulate the work of the Scientific Committee of the 2nd International Urban Environment and Health Congress, the process related to the preparation and presentation of the proceedings and the rewarding, and the procedures and principles to observe before, during and after the congress.

Scope

Article 2- This guideline includes the rules that must be observed in all scientific studies carried out within the scope of International Urban Environment and Health Congress. This scope consists of; works of the Scientific Committee of the Congress, requirement as to form the proceedings, submitting and accepting the proceedings, evaluation of the proceedings and the issues on observing the scientific and ethical rules while carrying out these activities.

Definitions

Article 3- These expressions included in this guideline are defined as follows;

a)    Congress; The 2nd International Urban Environment and Health Congress,

b)    Organizing Committee; The 14-person committee created under the name of the International Urban Environment and Health Congress,

c)     Scientific Committee; The committee that was created under the name of the International Urban Environment and Health Congress and evaluatingthe proceedings in the scope of this Congress,

d)    Scientific Secretariat of the Congress; The secretariat working under the coordination of the Scientific Committee of the Congress and following the evaluation process of the proceedings.

e)    Firm; The firm to manage all organizing activities of the International Urban Environment and Health Congress,

f)      Organizing Committee Coordinator; Academic personnel assigned with the approval of their Rectorate and responsible for managing all correspondence for the Organizing Committee

g)     Scientific Committee Coordinator; Academic personnel assigned with the approval of their Rectorate and responsible for managing all correspondence for the Scientific Committee

h)    Rewarding Committee;Committee created amongst the Congress Organizing and Scientific Committees and deciding on congress rewards and which studies and who to reward.


CHAPTER TWO

Rules to Submit the Proceedings and Requirements as To Form

 

Rules to Submit the Proceedings

Article 4- The rules to be observed in the proceedings sent to the Congress are as follows.

a)    The proceedings will be sent via the web site. Proceedings sent via fax or mail will not be accepted for evaluation. The link to send the proceedings to, will be available on the Congress web site.

b)    A receipt notification will be sent to the owner of the proceeding.

c)  Abstracts should not exceed 400 words.The abstract should include; objective, method, findings and conclusions. In the abstracts, the author's name and institution, contact information and key words should be included.

d)    Criteria of preparation in Chapter Three must be met in the proceedings.

e)    After the evaluation; corrections (if necessary), whether or not the proceeding was accepted after the evaluation or corrections and if it is accepted the type (Oral / Poster) will be notified to the writer responsible.

f)      The evaluation period can be followed on the proceeding system on the web site.

g)     The accepted proceedings will be included in the e-congress book and/or the hard-cover book.

h)    The references in the proceedings to be included in the hard-cover book must be in accordance with the APA 6 format. 

i)      For a proceeding to be included in the Congress Book at least one of the writers must have signed up to the congress.

j)    A participant can apply to the congress with maximum 3 proceedings. A participant will have the opportunity to present maximum three proceedings (poster or oral proceeding).

k)   The presentation time for the proceedings that will be presented verbally is 10 minutes.  It is recommended that a maximum of 10-12 slides are used in the presentation. Projector and computer support will be provided. Oral presentations will be presented in 90-minute sessions consisting of other presentations in the scope of the same theme.

l)    The presentation of each poster will be made in the time and place reserved for it. The text prepared for the poster should not be longer than 750 words (excluding the references). It should be in accordance with the format of the guideline.

 

CHAPTER THREE

Proceeding Preparation and Evaluation Criteria

 

Proceeding Preparation and Evaluation Criteria

Article 5- Two types of proceedings may be sent to the congress; Study and Compilation.

Article 6- Study type proceedings should be prepared and uploaded to the system as explained in the following:

a)    Title: Should be uppercase, brief, should reflect the content of the study and should be suitable for defining and generalizing the study.

b)    Writers: Should be saved to the system according to name order.

c)     Introduction - Objective: Some information about the study subject should be provided, importance of the study, the reason it is made and the objective should be indicated clearly.

d)    Material - Method: The type, place, time, target population, sampling, data gathering method, variables of the study, analysis of the data and the statistical tests used should be specified.

e)    Findings: The chapter where the findings of the study are briefly presented to the reader. Images, tables and graphs may be included.

f)      Result: The important results of the study, its contribution on existing knowledge and deductions based on this and suggestions should be included.

g)     References The references should be in accordance with the APA 6 format.

Article 7- Compilation type proceedings should be prepared and uploaded to the system as explained in the following:

a)    Title: Should be uppercase, brief, should reflect the content of the study and should be suitable for defining and generalizing the study.

b)    Introduction: The reason why the compilation was made and the objective should be specified in this chapter.

c)     Methods: Information on when, with what resources, by whom and how the compilation was made is included.

d)    Findings and Discussion / Data gathered and examination: The data gathered should be written from general to specific, in line with the conceptual framework and be presented in titles with references. The existing information is studied and analyzed. New analysis, contradictions, resolutions regarding questions and issues are included in this chapter. The comments and results of the writer are included in this chapter and comments or discussions that are not based on information should be avoided.

e)    References The references should be in accordance with the APA 6 format.

Proceeding Evaluation Criteria

Article 8- The reviewers appointed by the Congress Scientific Committee will evaluate proceedings according to the Proceeding Evaluation Criteria in the table below.

Article 9- The reviewers who will be appointed by the Congress Scientific Committee will evaluate proceedings in forms of compilations according to the Proceeding Evaluation Criteria in the table below.

Evaluation/Findings:
The existing information is studied and analyzed. New analysis is made to identify useful content, unknowns or problems encountered. Contradictions are displayed. Solutions to identified problems can be suggested. New research questions are brought up.

Does the information in the compiled articles fit the objective and justification? Is the information sorted in an order? Have the findings been presented in a clear and objective manner? Specification of the significant results of the study? Have proposals been made based on the study results?

Paper Acceptance Criteria

Article-10 The acceptance of the papers shall be made with the positive assessment of at least two reviewers. The reviewing process will take place on the basis of the "blind review system".

Article- 11 All proceedngs sent within the scope of the Congress shall be accepted as oral proceedings.


CHAPTER FOUR

Rewards and Rewarding Committee

Rewards

Article 12- Two kinds of rewards are given within the scope of the Congress, namely Proceeding Rewards and Academic Rewards. Proceeding rewards are given following the evaluation of the Rewarding Committee. 

Article 13 - The Rewarding Committee is formed by the Congress Organizing Committee from the members of the Congress Scientific Committee. The committee decisions are recorded and announced on the congress website.

CHAPTER FIVE

Legal Clauses, Miscellaneous and Final Provisions

Legal Clauses

Article 14- In legal clauses, the Congress may make adjustments regarding regulation with the decision of the Congress Organizing Committee. If the issue falls within the definition of the Scientific Committee, the Congress Organizing Committee consults the Congress Scientific Committee.

Validity

Article 15 - This guideline shall take effect with the decision of the Congress Organization Committee.

Execution

Article 16- The provisions of this Guideline are executed by the Organizing Committee and the Scientific Committee Coordinators.
